Business Rules for Share Reservations changes to-from Marsha

This topic contains the following business rules for share reservations changes to Marsha:

Upload of PMS share reservations

• To create a share reservation in PMS, the parent sharer reservation must be created first, and when the CRS confirmation number is returned, the ‘Combine Share’ function in PMS can be used to share the guest with up to 4 other sharers in the same room. The maximum number of sharers allowed is 5. All secondary sharers receive the same CRS number as the parent sharer.
• If changes are made to any of the sharers other than primary sharer in PMS, these changes are only uploaded for dates, number of adults, rate code, and room type.
• In that case all RAT components for the parent sharer are uploaded. The parent sharer is determined by holding the lowest PMS register number of all sharers  that are part of that reservation. This is the base for the information to be uploaded.
• Changes to other data than dates, number of adults, rate code, and room type has to be done on the main sharer ONLY. If done on a secondary sharer, no update will be sent to CRS.
• Changes to the profile data of all sharers are uploaded to MARSHA in the specific GST section for each sharer.

Staggered stay share reservation

• If one or several sharers have different arrival and departure dates that affect the entire stay range of the reservation, or if changes to the first arrival date or last departure date are made to either of the sharers in PMS, a change message for the parent sharer’s PMS number (lowest reservation number) is uploaded.
• It contains the first arrival date and the last departure date that covers the entire stay period of all sharers in the reservation. In addition, all sharer names are uploaded in this change.
• If the first arrival date and last departure date do not alter during a change to a share reservation, no change message is uploaded.

Break of a share reservation

We have various methods to break a share in PMS:

• The Break Share Option in Reservations>Update Reservation>Options
• Date changes
• Room Move of one sharer in Reservations>Update Reservation>Options
• Cancellation of one sharer
• Early Check-Out of one sharer
• No Show of one sharer
• If the parent sharer is broken from a share reservation with more than two sharers, the next lowest PMS confirmation number becomes the new parent sharer and is now the base for all future changes to the remaining sharers.
• The guest name of the broken sharer is removed from the reservation. This is uploaded as a reservation change and in MARSHA CRS, the name of the reservation will be replaced with the new primary sharer’s name.
• In addition, all RAT components of the former parent sharer are canceled and rebooked for the new parent sharer.
• Following this action, a new reservation is created for the former sharer, as it is now a single reservation and needs to create a new reservation in MARSHA. At the time of uploading the message, the former CRS number is removed from the reservation in PMS by OXI based on the parameter REMOVE_CRS_NO, and the returned response message from MARSHA can update this reservation with a new CRS number.
• If a secondary sharer is broken from a share reservation, a change message is uploaded with XX in the GST section of that sharer.
• Incase the stay dates of that share reservation change through the break share, all other necessary details are uploaded to change the entire reservation.  
• A new reservation is uploaded for the broken sharer.
• If the break share creates two individual reservations in PMS, the former parent sharer will keep the CRS number.

For the second sharer a new reservation is created, the former CRS number is removed by OXI, and the new CRS number received in the response file is attached.

Business Rules for Share Reservation changes from Marsha

Changes from CRS to share reservations are accepted under conditions below.

General

OXI_RESERVATION group parameter UPDATE_SHARE_RESERVATION = Y

• If a reservation for one room contains more than one name, the first name will become the primary guest and all others will become secondary sharing guests. Profiles for all guests will be created.
• If a combination of an itinerary and share reservations come together in a download message, OXI will reject the message.
• CRS can send changes to checked in sharers except for changes to the arrival date and room type.
• In case CRS sends a change to the departure date, OXI will check if the room number assigned to the guest is still available for the extended stay. If not, the change will be rejected with an explicit OXI error message. The currently assigned room number will not be removed.

Download of changes to PMS share reservations:

• One GST section with PMR component per sharer is sent. Each of the GST sections contains the details for that particular sharer, like the individual PMS register number.
• In addition to the checks performed on a transient single reservation change, all PMS register numbers for all sharers are checked and an error is returned if they are not found.
• If a new sharer is added to the reservation in Marsha, information of that guest with come without the PMR component in the new GST section of that sharer
• All changes to the reservation will be applied to all sharers alike except for the data mentioned in the following bullet points. This means that formerly inserted changes to the share reservations in PMS are overwritten.
• Rate changes: we will apply the rate amount change to the primary sharer, which is identified by lowest PMS confirmation number. All secondary sharers will be overwritten with zero rates.
• Adults will be applied according to each GST section sent from CRS. One GST section per sharer including the specific PMS register number will be sent.
• Changed profile related information that is part of the GST section would be applied to the specific sharer based on the PMS register number sent.
• If changes to the membership details are sent by CRS, this will only be applied to the main sharer reservation and profile only.

Change to a group share reservation

Change to a group share reservation is similar to transient share reservation.

• The Mini-hotel code is always sent.
• One PMS component per sharer is sent. Each of them contains the details for that particular sharer, like the individual PMS register number.
• In addition to the checks performed on a transient single reservation change, all PMS register numbers for all sharers are checked.
• OXI will return an error if they are not found.
